How To Configure Your Email Program for Mailbox Accounts (pop3 or IMAP accounts)

Although all email clients require the same settings, where those setting are stored is different for different email programs. We've listed the menu paths to the Settings window for four popular email clients. If your email client is not listed below, please consult the documentation for that program, or search http://google.com for "how to configure (program's name) email settings".



Your Name The name you would like displayed with your email messages. (John Doe)
Your Email Address Your email address in its entirety.  (john@doe.com)  (substitute your domain name for doe.com)
Account name or Login ID your mailbox account user name  (john) or your email address in it's entirety.  (john@doe.com)
Reply to: By default your email program should use your email address specified above, but if you want the reply to address to be different you can enter that address here. (john@doe.com)
Incoming Mail Server mail.doe.com
Outgoing SMTP Server mail.doe.com  - NOTE:  You must select the box "my server requires authentication" in the SMTP outgoing mail server area of your email program settings in order to be able to use mail.doe.com as your outgoing mailserver - "same settings as incoming mailserver" or "specify LoginID/password."

The default port numbers work in most cases.   In some cases, you will need to change the port 25 outgoing smtp port to 26 , as some ISPs prevent use of port 25 with the exception of when you are using their outgoing smtp server.

Alternatively, you can instead use the outgoing SMTP mail server that the ISP you connect to the internet with provides to you (in many cases but not all.)  (i.e. smtp.charter.net) .  Generally when you use your ISP that you are connecting to the Internet with's SMTP outgoing mail server - you do not need to check the box for "my outgoing SMTP server requires authentication" because you have already authenticated with your ISP by being connected to them and the internet.

Type of Email Account Usually POP3.  If you are using the optional webmail system in your browser when you are away from your computer, you could instead choose IMAP.  Either method will work when using the webmail system, but use of IMAP will allow webmail features to be used within your email program as well as within your browser (such as different folders used on the server, deleted but not expunged messages, etc.  (Refer to our new email system FAQ for more information on our webmail system.)
Other Settings Make sure your email program is not set to "keep a copy of messages on the server," or your mailbox will fill up to its  limit eventually, and you will not be able to receive new messages once the mailbox is full.

How to Use the Optional Webmail System:  (useful when away from your computer such as when traveling or working at home) - https://webmail.yourdomain.com .  (substitute your domain name with yourdomain.com.)   If you don't delete / purge your messages in the webmail system, they will be retrieved by your email program also when you get back to your main computer and use your email program.  It is possible to use the webmail system solely, but keep in mind the storage limitation for email messages.  If you fill up your mailbox, new messages will return to sender.
